Data notice

What is submitted
Gaming ID, platform, optional Tracker profile link, and optional private Discord name. Only the clan owner reviews these requests.
Owners record eligible event dates, attendance, and member vouches. Vouch notes and giver identities stay private. These records are stored in Battlegrid and are not forwarded to Formspark.
Clan name, tag, region, games, contact name and email, plus an optional Discord invite.
Opponent, game, format, proposed time, timezone, server region, reply email, and optional notes.
Fixture, scores, reporter email, and optional evidence link or notes.
Storage and processors
The primary submission is stored in Battlegrid's private moderation database on the COG server. If notification forwarding is enabled, a copy is also sent to Formspark so administrators can notice and review it. Member requests stay in Battlegrid and are not forwarded to Formspark.
The application also keeps a keyed, non-public rate-limit token derived from the request address for a limited window to reduce form abuse.
There is no automated deletion schedule for competition submissions today. COG administrators should remove records once they are no longer needed for moderation or match history.
What becomes public
The tournament Watch section loads a Twitch or YouTube player only after you choose to open a stream. The provider then receives your IP address, browser information, and the Battlegrid site origin, and handles playback under its own privacy policy. YouTube uses its privacy-enhanced player. On larger screens, the player stays in a corner while you scroll away. Closing the player removes it from the page. Your selected stream stays in page memory and is cleared when you reload. We do not save your selection to our database or browser storage.
Battlegrid counts page visits with Matomo, which runs on the same server that hosts Battlegrid. It is only used to see which pages are visited. It sets no cookies and stores nothing in your browser. Only the page address without query details is sent; referring pages are not stored. Your IP address is shortened before it is stored, and visits are not linked across days or to other websites. Raw visit records are deleted after 30 days and aggregated statistics after 12 months. The data is not shared with third parties or used for advertising. Browsers that send Do Not Track or Global Privacy Control are not counted.
Your choices
Contact a COG administrator through the same clan or competition channel you used for the submission. Include enough detail to identify the entry, but do not post private information in a public chat.
